AI Won’t Fix a Broken Business Process

Cape Town: As organisations continue investing in artificial intelligence, many are overlooking a more fundamental issue: inefficient business processes.

During a recent executive productivity one-on-one workshop, a review of a routine business process identified an opportunity to save approximately 30 minutes each working day by redesigning the workflow.

The productivity improvement was achieved before any AI was introduced by eliminating unnecessary manual steps and making better use of existing Microsoft 365 and Microsoft Excel capabilities.

AI can draft reports, summarise meetings, analyse data and automate repetitive tasks, but it cannot repair an ineffective workflow. If employees follow inconsistent processes, duplicate work or rely on poor-quality information, AI may simply complete those same tasks faster without improving the underlying process.

“Many organisations see AI as the starting point,” says Arnold Muscat, Director of College Africa Group. “In practice, the greatest productivity improvements often come from improving the way people work before introducing AI.”

Only after the process had been streamlined was Microsoft Copilot introduced to assist with repetitive tasks, further improving the workflow and demonstrating that AI delivers the greatest value when it supports an already efficient way of working rather than attempting to compensate for an inefficient one.

The same principle applies to email management, meeting preparation, document creation and reporting. Organisations that first review how work is performed are often able to identify immediate productivity improvements before applying AI to automate suitable tasks.

Before investing in additional AI licences or software, organisations should first understand how work is actually performed. Mapping workflows, identifying bottlenecks and eliminating unnecessary steps often deliver measurable productivity gains while creating a stronger foundation for AI adoption.

The question executives should ask is not, “Where can we use AI?” but rather, “How can we improve the way we work before AI accelerates it?”
